Ready to move

Payroll switching brief

For businesses ready to move after a first conversation. Tell us how payroll works now and what you’d like from the move.

Only your business name, your name and your email are needed. Everything else can wait.

Section 1 of 5

Your business

Start with the basics.

For example, a trading name that differs from the registered name.

A rough number is fine. Count the people who’d be paid through the new arrangement.

As registered at Companies House.

Only if a payroll provider or bureau already uses one for your business.

Section 2 of 5

Your contacts

Who we should speak to about the move.

How should we contact you about this?

Where the new provider should send its invoices.

A name and role is enough.

Section 3 of 5

Payroll today

How payroll works now.

How are workers engaged and paid today?

Sometimes called the payment model. Tick all that apply.

How often are workers paid?
Is a processing charge taken from workers’ pay?

Some arrangements take a fee from each worker’s pay, often called a margin.

In pounds, or a percentage if it’s a share of pay.

Are expenses paid through payroll?
Do you use pension postponement?

Tell us what you do now.

How does holiday pay work?

Sometimes called the holiday mode. For example, built up and paid when leave is taken, or an amount added to each payment.

When does the holiday year start?

For example, each worker’s start date.

Your current provider, bureau or accountant. Or say if you run it yourselves.

Section 4 of 5

Planning the move

When you’d like to move, and the timings you work to now. Nothing here is a confirmed date.

The first pay date you’d like with the new provider.

For example, Tuesday by noon, or as each worker joins.

Does each worker need a full registration?

Whether every worker completes a full registration with the payroll provider. Choose “To be confirmed” if you’re not sure.

Is that how it works today, or what you’d like?

For example, Monday by 10am.

Which day are workers paid?

Tick more than one if you run more than one payroll.

As you understand it from your current agreement.

Have you given notice?

For example, a busy season, a contract renewal or a system change. Please don’t include worker names or personal details.
